COURSE DESCRIPTION AND OBJECTIVES

 
 

 

 


Course Description

This course covers the fundamentals of Records Management including the principles of indexing and filing; the major filing systems the role of records management and the records manager in the information industry; selection of systems, equipment, and supplies; design, control and maintenance of a records center and investigates the complexities of managing electronic records.

 

Course Objectives

Upon successful completion of the course, the student will be able to:

  • Describe how records are classified and used in an office
  • Understand relevant legislation that affects records management
  • Use indexing rules in alphabetic storage of names, index, code, and arrange personal and business names filing and determine how databases can be used in records management
  • Identify the basic types of equipment and supplies for records storage and identify considerations for selecting storage equipment and supplies
  • Understand the use of a records retention schedule, transfer, and retrieval, and examine record center procedures.
  • Define numeric records management and compare consecutive, terminal digit, chronological and alphanumeric coding
  • Understand information management programs and careers in records management

Assignments are due on Sunday evening. I will grade and post results by the end of the following week. If I cannot grade your assignment according to this schedule I will notify you either by email or electronic message within WebCT.

If you do not see a grade for your assignment one week after the due date, please contact me via email. Include your name, assignment title, date submitted.

Preparing Your Computer

To complete this course it is essential that your computer is configured properly and has the required software and plug-ins.

STUDENT RESPONSIBILITIES

 
 

 

 


ATTENDANCE

 

You must log into your course at least once prior to the end of the first week of the semester. Failure to do so may result in your being dropped from the course.

 

During the semester you should log in several times each week and check for any email messages, announcements, posted calendar dates.

 

You have an assignment to complete each week.  The assignment may have several activities such as reading, participating in a discussion, quiz, field trips, and writing reports. 

To complete each week’s assignment, carefully read the directions for that week and complete all parts.   

Submit the assignment for each week by the end of that week. Check the week and due date on the calendar.

Late assignments may be submitted if the assignment is still available to you.  There may be a penalty for submitting a late assignment. Always contact your instructor if you think you may not meet the deadline.

  • The syllabus has general topics for each week and points assigned for each activity. But, it does not have all the directions for completing your activity assignment.
  • To complete each week’s assignments follow the directions provided for you.  Occasionally there may be a change in the directions for an assignment. Notice of any change will be made via email, announcement, or posted on the home page.
 
PARTICIPATION

Assignments

Suggested steps each week:

Each week starts and ends on Sunday. The week starts Sunday morning, and the week ends at 11:55 p.m.

Check the directions for the week. Read the directions carefully and complete all activities.

Written Assignments Please try not to send assignments in close to midnight. There may be a time delay in transmission and all your hard work will not reach me in time.

Quiz There is no make up for a quiz. Week 1 quiz may be taken more than once. Remember to save your answers before you hit the finish button.

Discussion Go to the discussion board early in the week and post at least one reply to the discussion question. Return later in the week and post at least one response to another student’s posting. You may post after the week ends, but you will not receive any points for your important opinion.

You will earn points each time you complete and submit an assignment within the time assigned.

Mid Term up to 100 points

Final Project up to 100 points (25 for each portion)

Discussion 10 points per discussion

Quiz 10 points per quiz

Bonus question (if available) up to 25 pts

 

A(Excellent): 90% +

B (Good) 80-89%

C(Average) 70-79%

D(Below Average) 60-69%

  • Follow the directions for each week. You are expected to complete all assigned tasks each week.

  • Check the grade book to see if your assignment has been graded, and if I have commented on your work.

 

  • Contact me immediately if you are not able to complete your assignment on time.

 

  • Save a copy of all your assignments. It is best to create a separate folder on your computer specifically for your work in this class.

You are required to complete the assignment for each week of the semester. Assignments can have several activities, including reading, writing, reports, quizzes and communications (email & discussion.)

 

There is a mid term project and a final project to complete. The mid term assignment is due at the end of the 8th week of semester. The Final Project is a four part project, with each part due during a specific week during the semester. Due dates are posted on calendar.

 

The Final Project has four parts. The first three parts are due during posted weeks throughout the semester, and the fourth part is due the last week of the semester. In past semesters, students have commented that the projects are good learning experiences, as well as interesting to complete, and for many they are preferable to multiple choice exams.

This week you will become familiar with WebCT tools. Then you will use these tools send your instructor a message, post to a discussion, and take a quiz.

 

Module 2

  Chapter 1 – What is Records Management

This week you will read a chapter in your text, take a short, un-timed quiz about the terms defined in the chapter, and participate in a discussion.

Chapter 2 Alphabetic Indexing Rules 1-4

This week you will read a chapter in your text, take a short, un-timed quiz about the terms defined in the chapter, and complete a writing exercise about what you learned in the chapter.

 

Module 4

 Chapter 3 - Alphabetic Filing Rules 5-8

This week you will read a chapter in your text, and complete an exercise about what you learned in the text, take a quiz and post to the discussion board.

This week the quiz is “timed” so you must complete it within the week and there is a 30 minute time limit. Check the instructions carefully before you start the quiz as you will only have one attempt. There are 30 minutes to complete the quiz, so you will have plenty of time to do the work, and you can have notes and the text available during that time.

 

Module 5

This week you will read a chapter in your text, and answer questions at the end of the chapter and send them to me, then take another quiz defining terms for the chapter.

This is the mid-term week and a special project will be completed.

 
MID TERM PROJECT

For this project you can choose to complete one of the two assignments.

 

I – Visit two businesses and interview the records administrator about the record keeping practices of the organization. Write up your results and give suggestions for improvement. Then post your report on the discussion board and review and comment on other postings.

 

II – Write a three page essay on a specific records management topic. The essay will include a table of contents, bibliography, and will be scored on content and style.

 

Module 9

 Chapter 7 – Storing, Retrieving, and Transferring Records
